Vendor Booth Cancellation & Refund Policy

Thank you for being part of Anime Night Mart! We appreciate the artists, creators, and businesses that help make our events possible.

Because each vendor booth represents reserved event space, Anime Night Mart LLC maintains a firm cancellation and refund policy to ensure fair planning, accurate vendor placement, and a well-organized experience for everyone.

PLEASE REVIEW THIS POLICY CAREFULLY BEFORE PURCHASING A VENDOR BOOTH.

1. Five-Week Cancellation & Refund Policy

FULL REFUND: 35 DAYS OR MORE BEFORE THE EVENT

Vendors are eligible for a 100% refund of the booth purchase price when their written cancellation request is received at least 35 calendar days (5 weeks) before the scheduled event start date.

NO REFUNDS: LESS THAN 35 DAYS BEFORE THE EVENT

All booth purchases become final and non-refundable once the event is fewer than 35 calendar days away.

After this deadline:

  • No refunds will be issued for voluntary vendor cancellations.

  • No refunds will be issued for scheduling conflicts, travel problems, illness, personal emergencies, or changes in business plans.

  • No refunds will be issued for vendors who fail to attend, arrive late, or leave early.

  • No refunds will be issued due to disappointing sales, lower-than-expected attendance, or dissatisfaction with business performance.

  • No refunds will be issued solely because a vendor no longer wishes to participate.

These restrictions apply regardless of when the booth was originally purchased.

IMPORTANT: Booths purchased within 35 days of the event are final sale upon purchase.

All provisions remain subject to applicable law and any express written exception granted by Anime Night Mart LLC.

2. How to Request a Cancellation

All cancellation requests must be submitted in writing through Anime Night Mart LLC's official contact channel, as listed on our website.

The request must include the vendor's business name, order number, event date, and contact information.

The date and time Anime Night Mart LLC receives the written cancellation request determines eligibility, not the date the vendor decides to cancel.

All deadlines are based on the event's local time zone, using the scheduled event start time.

Requests received at or before the 35-day deadline qualify for a full refund of the booth purchase price. Any separately disclosed, non-refundable third-party charges will be handled according to the terms presented at checkout and applicable law.

Approved refunds will be processed to the original payment method when available. Actual posting times depend on the payment provider or financial institution.

3. Rain or Shine, Wind & Weather Conditions

ANIME NIGHT MART IS A RAIN-OR-SHINE EVENT.

Vendors acknowledge that ordinary weather conditions may affect attendance, booth operations, merchandise displays, comfort, or overall business performance.

These conditions include rain, wind, heat, cold, and other reasonably anticipated weather events.

Vendors are responsible for preparing their equipment, merchandise, displays, and personal belongings for the expected conditions.

Weather-related inconvenience or reduced sales does not qualify for a refund when the event proceeds.

Anime Night Mart LLC reserves the right to make reasonable changes to operations, including modifying schedules, adjusting layouts, or temporarily suspending activities when necessary for safety.

4. Venue Conditions, Utilities & Equipment

Certain circumstances involving event venues and third-party services are outside Anime Night Mart LLC's direct control.

These may include:

  • Air conditioning, heating, or ventilation malfunctions.

  • Indoor or outdoor lighting conditions.

  • Electrical interruptions, power outages, or insufficient electrical capacity.

  • Internet, Wi-Fi, or cellular connectivity problems.

  • Restroom, plumbing, maintenance, or other facility disruptions.

  • Unexpected venue restrictions or operational limitations.

Anime Night Mart LLC will make reasonable, good-faith efforts to address significant venue-related concerns when practical.

However, temporary inconvenience, reduced comfort, or interruption of non-guaranteed amenities does not automatically entitle vendors to refunds, credits, or reimbursement.

No tables, chairs, canopies, lighting equipment, batteries, electrical access, or power supplies are provided or guaranteed unless expressly stated in the specific booth listing or written agreement.

Vendors should arrive fully prepared with their own permitted equipment and supplies.

Nothing in this section eliminates legally required remedies for a material failure to provide the purchased booth or an expressly guaranteed service.

5. Event Cancellation, Postponement & Circumstances Beyond Our Control

Anime Night Mart LLC may postpone, suspend, modify, or cancel an event when reasonably necessary due to severe weather, dangerous conditions, government restrictions, venue closures, emergencies, utility failures, or other circumstances beyond its reasonable control.

If an event is rescheduled, Anime Night Mart LLC will communicate the revised date and available options to affected vendors.

If Anime Night Mart LLC cancels an event outright and does not provide the purchased booth opportunity, affected vendors will receive a refund of the booth purchase price unless a different arrangement is voluntarily agreed upon or applicable law expressly permits another remedy.

For postponements or substantial event changes, refunds, transfers, or other remedies will be determined according to the circumstances, the original purchase agreement, and applicable law.

Ordinary changes to layouts, programming, or schedules that do not materially deprive vendors of the purchased booth opportunity do not automatically qualify for refunds.

6. Booth Assignments & Vendor Responsibilities

Booth placement and event layouts are determined by Anime Night Mart LLC based on operational requirements, venue restrictions, safety, traffic flow, and overall event organization.

Specific booth locations, neighboring vendors, attendee traffic, or potential sales are not guaranteed unless expressly confirmed in writing.

All vendor merchandise, tables, racks, displays, signage, equipment, and personal belongings must remain completely within the assigned booth perimeter.

Unauthorized expansion into walkways, neighboring booths, or other event areas is strictly prohibited.

Vendors must follow all applicable venue-specific requirements, including canopy restrictions, fire safety standards, setup instructions, and merchandise limitations.

No food vendors are permitted unless expressly approved in advance by Anime Night Mart LLC and the venue.

7. Policy Violations & Booth Removal

Anime Night Mart LLC reserves the right to require corrective action, removal of prohibited items, closure of a booth, or removal of a vendor for serious or repeated violations of event policies.

Violations may include:

  • Selling or displaying prohibited, illegal, or inappropriate merchandise.

  • Selling or displaying prohibited AI-generated artwork.

  • Repeatedly exceeding assigned booth boundaries.

  • Refusing to follow reasonable staff or venue instructions.

  • Creating unsafe conditions or engaging in threatening or disruptive conduct.

  • Violating applicable laws or material event requirements.

Vendors removed because of a material violation of the agreement are not entitled to refunds, to the extent permitted by applicable law.

8. Vendor Property, Theft & Business Losses

Vendors are responsible for protecting their merchandise, cash, payment equipment, displays, inventory, and personal belongings.

To the fullest extent permitted by applicable law, Anime Night Mart LLC is not responsible for vendor property that is lost, stolen, or damaged, or for indirect or consequential business losses arising from event participation.

Vendors remain responsible for damage they or their representatives cause to the venue or property of others.

Anime Night Mart LLC does not guarantee attendance, sales, revenue, or profitability.

9. Chargebacks & Payment Disputes

By completing a booth purchase, vendors acknowledge the cancellation deadlines, refund restrictions, and participation requirements disclosed before payment.

Vendors who believe a charge or refund decision is incorrect are encouraged to contact Anime Night Mart LLC so the matter can be reviewed promptly.

Anime Night Mart LLC reserves the right to respond to payment disputes by supplying relevant transaction records, order confirmations, cancellation communications, and evidence of acceptance of the applicable terms.

Nothing in this policy restricts a vendor's lawful right to dispute an unauthorized charge or exercise protections provided by applicable payment network rules or law.

10. Acknowledgment & Agreement

BY PURCHASING A VENDOR BOOTH AND AFFIRMATIVELY ACCEPTING THE APPLICABLE TERMS, THE VENDOR ACKNOWLEDGES AND AGREES THAT:

  1. The vendor has been provided an opportunity to review this Refund Policy and the complete Vendor Terms & Conditions before purchasing.

  2. The vendor understands that full refunds for voluntary cancellations are available only when a valid written request is received at least 35 calendar days before the event.

  3. The vendor understands that purchases made within the 35-day window are final and non-refundable for voluntary cancellations, except where otherwise required by law.

  4. The vendor accepts the rain-or-shine policy, venue-related limitations, booth requirements, and other disclosed participation conditions.

  5. The purchaser confirms that they have the legal authority to agree to these terms on behalf of the participating vendor or business.

These refund terms form part of the vendor's booth purchase agreement when properly disclosed and accepted.

Anime Night Mart LLC reserves all rights and remedies available under the applicable agreement and governing law. Nothing in this policy limits rights or remedies that cannot legally be waived.
